- Clinicly Rep, the app medical representatives use to plan and log doctor visits;
- the Clinicly admin console and these web pages.
Who we are
Clinicly is built and operated by the team at Hopcape (Murtaza Khursheed, trading as Hopcape), Anantnag, Jammu & Kashmir 192101, India ("we", "us"). We decide how your information is used and are responsible for it.
Questions or requests: [email protected].
In short
- We collect what is needed to book and run clinic visits, and nothing for advertising.
- We do not sell your information or show ads.
- The clinic you book with sees your booking and how to reach you.
- Patients can turn off usage analytics in Profile. Crash reports are always sent, so we can fix the apps when they stop working.
- Patients can delete their account at any time, in the app or on our account deletion page. Medical representatives can delete theirs in Clinicly Rep.
What we collect
If you use Clinicly as a patient
- Account: your name, email address and sign-in details from Google or the email and password you choose. You can browse as a guest without an account; an account is needed only to book.
- Contact number: a phone number you add so clinics can reach you about a visit. It is not used to sign in.
- Bookings: the clinic, doctor, day, token, status and any cancellation or request for each visit, including visits you book for family members, and the details you give when booking: the patient's name, age, sex, mobile number, address and reason for the visit. The reason for a visit can be health information; it is shared only with the clinic you book with.
- Family members: the names and details you enter for people you book for.
- Reviews: ratings and comments you leave about a visit.
- Your city or area: the place you pick to browse clinics.
- Location: if you allow it, your phone's location is used on your phone to find the nearest area and show how far clinics are. We do not store your precise location on our servers.
If you use Clinicly Desk as clinic staff
- Account: your name, email address, sign-in details, the clinic you work for and your role there.
- Work records: the actions you take, such as managing the queue, answering booking requests, recording payments and changing clinic settings, which are kept in an activity log.
- Patient details you handle: the names, contact numbers and bookings of patients of your clinic. Your clinic is responsible for how its staff use them.
If you use Clinicly Rep as a medical representative
- Account: your name, email address, phone number and sign-in details.
- Identity check: your employer, territory, a photo of an identity document and a selfie, which we review to confirm you are who you say you are before you can contact clinics.
- Work records: the doctors you follow, visit requests, visit plans and logs, products discussed, targets and history.
- Location: if you allow it, used on your phone to show distances to clinics. We do not store it.
From everyone who uses the apps
- Notifications: a device token so we can send you booking updates and alerts.
- Usage analytics: which screens are opened and which steps are completed, with your role, app and app version. These events never contain your name, email, phone number, anything you typed or, for patients, which clinic or doctor you looked at.
- Technical data: app version, device platform and error information needed to keep the apps working.
- Crash reports: when an app stops working or freezes, what it was doing just before, with the app version, device model, operating system, language and time zone, an id for the app installation and, if you are signed in, your account id. We remove email addresses, phone numbers and ids of clinics, doctors and bookings from them, and never attach screenshots or what you typed.
Why we use it
- To let you sign in, find clinics and doctors, book, change or cancel visits and get reminders.
- To let clinics manage their bookings, queue and patients, and medical representatives arrange visits.
- To check medical representatives' identity and keep clinics safe from impersonation.
- To send booking updates and service notices.
- To understand where people get stuck and improve the apps.
- To keep the service secure, investigate misuse and meet legal obligations.
We process your information with your consent, which you give when you create an account or use a feature, and where it is needed to provide the service you asked for or to comply with the law. You can withdraw consent at any time by deleting your account or turning off analytics; this does not affect what was done before. Crash reports are not based on consent: we send them because we need them to keep the apps working.
Who we share it with
- Clinics you book with see your name, contact number and the details of your bookings with them, so they can see you.
- Clinics a representative contacts see the representative's name, employer and verification status.
- Service providers who run parts of Clinicly for us and may only use the information to do so:
- Google Firebase, for sign-in and notifications;
- Supabase, for our database and file storage;
- PostHog (EU hosting), for usage analytics;
- Sentry (EU hosting), for crash reports;
- Google Firebase Hosting, for these web pages and the admin console.
- Authorities, when the law requires it.
We do not sell your information or share it for advertising.
Your choices about analytics
Patients can turn usage analytics off at any time in Clinicly under Profile. Clinic staff and medical representatives use their apps for work, and usage analytics stay on in those apps.
This switch covers usage analytics only. Crash reports, which tell us when an app stops working, are still sent when it is off. See Crash reports under What we collect for what they contain.
How long we keep it
- We keep your information while your account is open.
- When a patient deletes their account, their name, email, contact number, family members and notifications, and the details given on each booking (including reasons for visits), are erased straight away and their upcoming bookings are cancelled. Their sign-in is removed from Firebase shortly after.
- Records clinics need, such as past visits and payments, and our activity log, are kept with your name and contact details removed, so they no longer identify you.
- Clinic staff accounts are removed by their clinic or by us on request.
- When a medical representative deletes their account, their identity documents, earlier visits and logs, targets and followed doctors are erased straight away. Visits from that day on are kept for the clinic without their name, notes or logs.
- Usage analytics are kept only as long as they help us improve the apps.
- Crash reports are kept by Sentry for up to 90 days and then deleted, including after an account is deleted.
Deleting your account
Patients can delete their account in Clinicly under Profile → Delete account, or on the web at our account deletion page, without the app. Medical representatives can delete their account in Clinicly Rep under Profile → Delete account; see our account deletion page for what it removes. Clinic staff can ask their clinic. Anyone can also email [email protected] from their account's email address, including a representative whose account is also used at a clinic or for the console, which the app can't delete.
Your rights
Under India's Digital Personal Data Protection Act, 2023 you can:
- ask what information we hold about you and how it is used;
- correct or update it; most of it you can change in the app yourself;
- have it erased, by deleting your account or asking us;
- withdraw your consent;
- nominate someone to exercise these rights if you die or cannot do so;
- raise a grievance with us, and then with the Data Protection Board of India if you are not satisfied.

Children
Clinicly accounts are for people aged 18 or over. A parent or guardian can book visits for a child as a family member, and is responsible for the details they enter.
Security
Information travels encrypted, access to it is limited by role, and every change to accounts and clinic data is logged. No system is perfectly secure; if a breach affects you, we will tell you and the Data Protection Board as the law requires.
Changes to this policy
If we change this policy we will update the date above, and tell you in the app if the change is significant.
